Connecting your calendar
Étape 1: Open the calendar card
Go to "Integrations" and open the card "Agenda: let the AI book appointments".
Étape 2: Choose your calendar
Click connect for Google Calendar or Microsoft Outlook (365) and sign in. Then select the right calendar under "Calendar for appointments".
Étape 3: Switch booking on
Switch on "AI may book appointments".
Is a button greyed out? Then that calendar connection hasn't been enabled for your workspace yet. Get in touch if you'd like to use it.
Appointment types and working hours
Étape 1: Appointment types
Under "Appointment types", add each type with a name, the duration, optional buffer time before and after, and a short description for the AI.
Étape 2: Working hours
Set your "Working hours" per day, or mark a day as closed.
Étape 3: Booking rules
Choose the minimum notice in hours, how many days ahead customers may book, the interval between start times and the time zone.
Étape 4: What the AI asks
The assistant always asks for a name. Choose whether it also asks for email address, phone number or the reason for the appointment.
Étape 5: Confirmations and channels
Choose whether the customer gets a confirmation with a cancel link, whether your team is notified, and which channels may book: website chat and/or phone. Click save.
Checking and following up
- "Show free times" shows which times the assistant would offer.
- "Recent appointments booked by the AI" shows what has been booked.
Bon à savoir
- The assistant suggests two or three free times and only books after a clear confirmation from the customer.
- Double bookings are prevented: the assistant checks your calendar for busy times.
- Twilper only reads whether you're free or busy, and only creates or deletes its own appointments.
- There's a maximum number of bookings per conversation and per day, to prevent abuse.
